Customer Record Enhancements
With Version 13.0, there are several Customer Record Enhancements, outside of Tags. They include:
- Archive Notes
- Global Notes
- Global Forever Note
- Global Contacts
- Archive Contacts
The concept of "Global" means the Note or Contact can be seen on all Locations for a Customer.
Archive Notes
- On the Customer Record Notes table, there is now the ability to "Archive" a Note, similar to making the Note "Inactive"
- The Note is not deleted
- The Customer Record Notes table defaults to displaying only Active Notes
- Use the Filter at the top of the Customer Record Notes table to view the Archived Notes or All Notes
Global Notes
- In the Customer Record Notes table, there is a "Globe" icon for each record
- Click to Globe to make it "Global" - visible for all Service Locations
- To make it apply to only one location, go to that location and click the Globe icon to remove the Global status
Global Forever Note
- On the Customer Record, in the Billing Address Section, there is now a Forever Note
- This is considered a "Global Forever Note"
- As such this Global Forever Note will appear in the Technician Notes for all new Service Calls created for any location for the customer
- If there is a location specific Forever Note, then when a new call for that location is created, there will be two Forever Notes in the Technician Note section - the Global one and the Location Specific one
Global Contacts
- Same concept as the Notes, but applied to Contacts
- In the Customer Record Contacts table, there is a "Globe" icon for each contact
- Click to Globe to make it "Global" - visible for all Service Locations
- To make it apply to only one location, go to that location and click the Globe icon to remove the Global status
Archive Contacts
- Same concept as the Notes, but applied to Contacts
- In the Customer Record Contacts table, there is now the ability to "Archive" a Contact, similar to making the Contact "Inactive"
- The Contact is not deleted
- The Customer Record Contacts table defaults to displaying only Active Contacts
- Use the Filter at the top of the Customer Record Contact table to view the Archived Contacts or All Contacts
